Customer Service Representative

An exciting opportunity has arisen at our Silvertrees facility in Westhill, Aberdeen. We are looking for a Customer Service Representative to join our Customer Service team.

When working with customers, you will communicate knowledgeably, clearly and correctly at all times, producing high-quality quotations and orders to meet daily KPI's but also supporting our customer expectations. All customer enquiries will be dealt with effortlessly and efficiently and we will always look to support our customers' expectations.

Main duties will include:

  • Work with our global business system (SAP)
  • Liaise with other teams or departments on a regular basis
  • Prioritise and support customer enquiries via email/telephone in a timely manner
  • Handle incoming calls and refer callers to the appropriate department or personnel
  • Investigate customer complaints in a timely manner ensuring a satisfactory outcome
  • Preparation of quotes
  • Processing orders
  • Adhering to contract review
  • Follow bespoke processes
  • Provide clear and factual support to our customers and your colleagues
  • Problem solving when looking at technical enquiries, and dealing with trade counter sales
  • Entering and maintaining business partners with SAP
  • Prepare and maintain spreadsheets and reports
  • Any other delegated responsibilities as instructed by line management within the timeframe specified in a safe and efficient manner to meet business requirements, provided the instruction is reasonable and you are capable and deemed competent to fulfil these
  • Raise issues that may impinge on health and safety requirements and ensure they are rectified immediately
  • Demonstrate a personal commitment to quality, health, safety and the environment
  • Apply Swagelok, and where appropriate client company's quality, health, safety and environment policy and safety management systems
  • Comply with company legislation
  • Comply with company policies and procedures

Ideal candidates will be able to demonstrate:

  • Previous experience of working in a customer service environment
  • Experience of working with SAP B1 or a similar system
  • Previous experience in working with trade counter sales would be advantageous
  • Good working knowledge of MS office applications
  • Rigorous attention to detail
  • Self-motivated with the ability to work as part of a close team
  • Excellent organisational, administration and problem-solving skills
  • Ability to plan and organise workload to ensure deadlines are met
  • A positive attitude to all aspects of the role
  • Self-starter and at ease in a team environment
  • Must demonstrate personal values that are aligned with Swagelok company values
  • Good communication skills, both written and verbal
  • Knowledge of any of the following sectors would be beneficial: oil & gas, semi-conductor, chemical and petrochemical, biopharmaceutical and pharmaceutical
  • Clean driving licence
